Our Career Site Service is provided and maintained by Kaonix Solutions Limited through its ‘Webcruit’ service on behalf of Vedas Recruitment & Training Ltd.
Collection of information
When you access our Website via any means we may collect, store and use your personal information in line with this policy.
To register or apply for a job on the Website, we will ask for:
· Email address
· Telephone number(s)
· Work experience
· Your CV (this can be uploaded as part of the registration/application process)
· Your availability for work
· Key words describing you
· Other information or specific questions i.e. current drivers licence
· We may also ask you for additional information when you report a problem with the Service or make a complaint
Use of your information
By accessing the Website via any means, registering your CV, applying for jobs, setting up email alerts and uploading CVs, you agree that your personal information may be collected, stored, used and shared by us for any of the following purposes:
· To enable you to apply for a job
· To register your details within our Talent Pool
· To register for job alert emails
· So we can manage and administer your account
· To review your applications
· To communicate with you as part of our business
· To match your skill sets, experience, qualifications or preferences to job vacancies
· To keep you informed of available opportunities as they arise
· To put forward your details to prospective employers for you to be considered for vacancies
· To enable us to send you information about Vedas and its services, news and updates
· To enable to you participate in competitions, prize draws and similar promotions, and to administer these activities.
· For general employment trend, vacancy research and analysis purposes
· To resolve complaints, and handle requests for data access or correction
· To respond to and defend against legal claims
· To comply with legal and regulatory requirements
Who is your personal data is shared with
Personal data will only be shared between employees of Vedas who legitimately need the information to carry out their normal duties i.e. members of the recruitment team, managers of the service/business areas in which they work and IT staff, if access to the data is necessary for the performance of their roles.
Personal data will be also be shared with other employers, agencies or business partners as part of our service.
We endeavour to ensure that personal data is only shared with your consent. However, circumstances may arise where this data shared without gaining your consent. This will only occur if it is necessary to protect your vital interests or the vital interests of another person; or for certain other reasons where it is not possible or appropriate to gain your consent such as disclosers to the police for prevention or detection of crime, or to meet statuary obligations relating to equality monitoring.
Vedas takes the security of your data seriously. Vedas has internal policies and controls in place to try to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by its employees in the performance of their duties.
All information is stored on our Career Site provider’s secure servers (Webcruit). When you register, we will ask you to choose a password which enables you to access your account. You are responsible for keeping this password confidential. We ask you not to share this password with anyone.
Whilst we and our Career Site provider use the best efforts to ensure the security of your data, please be aware that we cannot guarantee the security of information transmitted over the Internet.
Legal basis for processing your information
Vedas collects and processes your Personal Data on the basis of different legal grounds, depending on the nature of the Personal Data being provided and the type of processing involved. More information is provided on this here.
Performance of a Contract
Most of the Personal Data processed by Vedas is performed on the basis that it is necessary for the performance of our agreement with you, or in order to take steps at the request of the user prior to entering such an agreement. An example of this would be where Vedas matches Job Seekers with Employers.
Another ground relied upon by Vedas for other types of processing of your Personal Data is that it is necessary for the purposes of legitimate interests pursued by Vedas. Such legitimate interests will include where we believe you have a reasonable expectation that we will perform a particular type of processing on your behalf. We will only rely on such a ground where there is a necessity of the processing in order to provide our services, products and features to you.
Another ground relied upon for certain types of processing is that it is necessary in order to allow Vedas to comply with a legal obligation.
Vedas also relies on your consent in order to process your Personal Data. Where we require your consent in order to collect and process certain Personal Data, we seek your consent at the time of provision, and such processing will only be performed where consent is secured. For example, your consent will be sought where you opt-in to our Talent Pool or receive job alerts by email.
Change of purpose
We will only use your personal information for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal information for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.
Please note that we may process your personal information without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
Disclosure of your information
We may disclose your personal information to third parties including:
· With your knowledge and understanding;
· To our suppliers in order for them to help us provide our services to you. For example, our careers site service provider and communication systems i.e. email and SMS (which allows us, for example, to send personalised email communications to you)
· To comply with any legal obligations, or to protect our rights, property, or safety, our users, or others.
We retain personal information we collect from you where we have an ongoing legitimate business need to do so (for example, to provide you with the Service you have requested or to comply with applicable legal requirements).
When we have no ongoing legitimate business need to process your personal information i.e. due to the closure of your account, your data will be deleted. This will be conducted by the Webcruit service on behalf of Vedas.
Closing your account
We only retain your personal data for twelve months from your last application or successful login. If your account has not been accessed for twelve months since the last successful login, we will contact you via the registered email address and explain that if you do not successfully login again within the next 7 days, we will automatically close your account.
You can also close your account at any other time by emailing firstname.lastname@example.org from the email address associated with your account.
Closing your account deletes all the personal information held in your profile including your application history.
If you wish to delete certain applications within your account – but not your account, you can do so by emailing email@example.com describing clearly which applications you would like to be deleted from your account.
If you have subscribed to email alerts, you can update your preferences or opt-out by clicking the relevant preference links within the body of an email alert at any time.
Reviewing & keeping your information up to date
It is important that the personal information we hold about you is accurate and current. To review your applications and update your details you need to log in to your account at https://vedas.e-cruitnow.com/site/login.cfm
This will allow you to:
· View and update your personal details, work experience and qualifications.
· Review your applications including dates, job details and notes
· Upload your latest CV
· Update your user settings (email address and password)
External links / 3rd party sites
The Website may contain links to and from the websites of third parties i.e. information relating to careers, videos or web tools. If you follow a link to any of these websites, please note that these websites have their own privacy policies. Please check these policies before you submit any personal information to these websites.
Social media, blogs, reviews
Any social media posts or comments you send to us i.e. on the Vedas Twitter page or any other platform, will be shared under the terms of the relevant social media platform (e.g. Facebook / Twitter) on which they are written and could be made public.
Other people, not us, control these platforms. We are not responsible for this kind of sharing. We recommend you should review the terms and conditions and privacy policies of the social media platforms you use. That way, you will understand how they will use your information, what information relating to you they will place in the public domain, and how you can stop them from doing so if you are unhappy about it.
Any blog, review or other posts or comments you make about us, our products and services on any of our blogs, reviews or user community services will be shared with all other members of that service and the public at large. Any comments you make on these services and on social media in general must be not offensive, insulting or defamatory. You are responsible for ensuring that any comments you make comply with any relevant policy on acceptable use of those services.
Transfer of personal data outside of the UK
Where data is shared within the UK, or the European Union (EU), the 3rd party will be required to comply with and safeguard the data under the terms of the General Data Protection Regulations.
Your personal information will only be transferred to counties outside of the EU whose data protection laws have been assessed as adequate by the European Commission, or where adequate safeguards, such as the EU-US Privacy Shield are in place.
Under certain circumstances, the law grants you specific rights, summarised below. Your rights may be limited and subject to restrictions in certain situations.
· You can access and edit your personal details via your profile page whenever you wish.
· In addition, you can object to processing of your personal information, ask us to restrict processing of your personal information or request portability of your personal information.
· You may close your account and delete your personal information at any time.

Minimum age of our users
Vedas limits its processing of personal data to users that are of a legal working age.
Other services provided by Vedas
Vedas provides many other services including Careers Advice, Training and Business Growth Services. Where you have registered or enrolled on another service, your personal information will be held and processed according to their respective privacy policies. This may include external organisations i.e. where Vedas deliver a service on behalf of another organisation, as a sub-contractor.
